Privacy notice

Last updated 2 October 2026

JWC organisers use this app to administer membership and the golf tour. Muloo manages the app’s technology. Contact Jarrud at jarrud@muloo.co about your information or this notice.

Information we use

Depending on the features you use, we hold your name, nickname, email, mobile number, profile photo, profile preferences, membership and tour history, handicap details, scores, team assignments, attendance, shirt size, room and travel preferences, and notes you provide.

We also hold payment claims, references, approval records, tour allocations and wallet movements. Organisers may import member and payment records from their existing tour spreadsheets. Authentication records include a protected password hash, session records, recovery tokens and, if linked, your Google account identifier.

Why we use it

We use this information to identify members, secure accounts, organise tour places and logistics, run golf rounds, maintain membership history, reconcile payments and answer member enquiries. Account and contact details are required for access; optional profile and tour details are used only where relevant to those activities.

Processing supports the administration of your membership and tour arrangements, the legitimate interests of running and securing the club’s app, and applicable record-keeping obligations. Where consent is required for a particular use, we will seek it.

Who can see it

Signed-in members can see information used for the shared tour, such as member profiles, the squad, teams and golf results. Organisers have wider access to contact information, payment records and administration tools. Avoid putting sensitive information in your profile, catchline or shared notes.

Muloo and providers supporting hosting, databases, email, sign-in and spreadsheet synchronisation process information needed to operate these features. Tour organisers’ spreadsheets may contain member records outside the app as well.

Google sign-in and email

Google sign-in provides your Google account identifier, email address and email verification status. We use these to identify and link your existing JWC account. It does not give JWC access to your Gmail messages, contacts, calendar or Drive files.

Password reset and first-time Google confirmation messages are sent through Google mail from jarrud@muloo.co. Google processes sign-in and email information under its own Privacy Policy.

Payment screenshot reading

If you choose to read a proof-of-payment screenshot automatically, the image is sent to an automated image-reading provider through Muloo’s service gateway to extract payment details. The image can contain banking or transaction information, so remove unrelated details before uploading. You can enter the payment details manually instead.

The reading feature does not save the uploaded image in the app database. Extracted details you submit as a payment claim are retained as part of the payment record. External providers may process or retain requests under their own service terms.

Cookies and device storage

The app uses essential cookies for member sessions and temporary Google sign-in checks. Your device may also store app assets for the home-screen app and a preference to dismiss its installation prompt. These support access and app operation rather than advertising.

Clearing cookies signs you out. You can remove cached app data or the installed home-screen app through your browser or device settings.

Protection, retention and international processing

We use access controls, protected passwords and expiring recovery links to safeguard accounts. No online service can guarantee absolute security. Protect your devices and tell Jarrud promptly if you suspect unauthorised access.

Member, tour and financial records are kept while needed for club administration, historical records, reconciliation and applicable obligations. Short-lived sign-in and recovery records expire. Deletion requests are assessed against those needs; some records may need to be retained or de-identified.

Service providers may process information outside South Africa. Applicable privacy requirements, including safeguards for cross-border processing, must be considered when using those providers.

Your choices and rights

Update your profile details in the app, or contact jarrud@muloo.co to request access, correction or deletion, object to processing, or raise a privacy concern. We may need to verify your identity before acting. Withdrawing information needed for membership administration may affect access to the app or tour participation.

You may also raise a complaint with South Africa’s Information Regulator. This notice may be updated as the app changes; the current date appears above.
